Instructions for all Graduates

  • The Tenth Convocation has been scheduled to be held on the 24th August, 2017 at Madan Maw-Arling, Umpling, Dong Shaneng, Shillong 793006 (near Umpling Taxi Stand).
  • It is compulsory for all Graduating Students to submit the Convocation Forms in order to receive the graduation certificates.They can collect them from the Evaluation Office or download from the University Website at this link : 'mlcuniv.in/convocation'(for pdf format) . All completely filled in applications as per instructions must be submitted to the Students’ Evaluation office. Attach a photocopy of the cumulative transcript and the Accounts Copy of the Bill book or DD along with the Convocation form.
  • The fee for receiving the degree in person or in absentia is Rs 2000 and for courses below or equal to 6 months of duration is Rs. 1000 to be paid by DD payable at Federal Bank of India, in favor of Martin Luther Christian University, Shillong or through the students' bill book. Bank Transfer payment can also be done but an email has to be sent to  This e-mail address is being protected from spambots. You need JavaScript enabled to view it immediately after making the payment indicating the name of student, course, registration no., transaction ID and date of payment for further processing. Scanned copies of the filled in Convocation form, the cumulative transcript and the receipt of payment in the bank have to be attached in the email.

  • All applications, attached with the DD and xerox copy of cumulative transcript, must be submitted by the 18th August, 2017 to the Evaluation Department, MLCU Main Office, Dongktieh, Nongrah. They can also be sent through post to this address: MLCU Evaluation Office, Martin Luther Christian University, Block 1, Dongktieh, Nongrah, Shillong 793006, Meghalaya.
  • After submission of forms, the students are to receive an eligibility certificate which will be issued from the evaluation office for collection of the convocation gowns/robes. The students are to produce the Eligibility certificate on collection of gowns.
  • For those attending the Convocation in person, the registration process and issuing of convocation gowns/robes will start from the 1st August up to the 18th of August 2017 from 2 pm to 4 pm.
  • Please note that Gowns will only be given after the form is duly filled and payment made.
  • All Gowns are to be returned back, unwashed and undamaged to the University at the Gown Collection Counter at the venue on the same day immediately after the convocation ceremony is over.
  • A fine of Rs.2,500.00 only will be charged for lost or damaged gowns.
  • Students attending the Convocation in person are to come for rehearsal on the 23rd August, 2017 at the venue at 11 am SHARP. Seat numbers will be provided on the rehearsal day itself thus attendance is compulsory.

  • Seats will be allotted on the Convocation Day itself from 9 am -10 am
  • Students who cannot collect their own original documents are to issue an authorization letter attached with an attested photocopy of the student's id who is issuing the authorization letter, only after the Convocation day.
  • Students applying in absentia can collect their certificates from the Evaluation Office at Nongrah after the Convocation Day. If the students require their certificates to be sent to their addresses, they can write an application requesting for the same and indicating why they cannot collect in person and send an additional postal fee of Rs. 100 within India and if outside India, postal fee as applicable.

The originals can be sent through post or the students can bring the originals when they come to Shillong. Gowns will be provided at the venue on the Convocation day for those attending in person only after prior information.
